Privacy Policy

Authors trust us with unpublished work and with the personal details behind it. This page sets out exactly what we collect, why we hold it, how long we keep it, and what you can ask us to do with it — in plain language, without the hedging.

01Who we are

SJF Ventures LLC (“SJF,” “we,” “us,” or “our”) is a full-service publishing and literary services company. We provide editorial, book design, production, distribution, author platform, and launch marketing services to independent authors.

We are the data controller for the personal information described in this policy. Our registered address is 30 N Gould St Ste N, Sheridan, WY 82801, United States, and you can reach us at any time at hello@sjfliterature.com.

This policy covers www.sjfliterature.com, our inquiry and intake forms, our email correspondence, and every service we deliver under an engagement agreement.

02What we collect

We collect only what we need to answer your inquiry, quote your project honestly, and do the work well. Nothing on this list is collected speculatively.

Information you give us

  • Identity and contact details — your name, pen name, email address, telephone number, and mailing address where a physical deliverable or contract requires one.
  • Project information — the stage of your book, its genre and subject, your goals, your budget range, and anything else you choose to tell us in an inquiry or consultation.
  • Manuscript and creative material — drafts, outlines, sample chapters, artwork, author photographs, biographies, and any other work you send us for assessment or production.
  • Contractual and billing information — signed agreements, invoices, and payment records. Card and bank details are handled entirely by our payment processors and are never stored on our systems.
  • Correspondence — the emails, messages, and call notes exchanged during your project.

Information collected automatically

  • Basic technical data — IP address, browser type, device type, referring page, and pages viewed, used to keep the site secure and to understand which pages are useful.
  • Anti-spam signals — our inquiry form uses a hidden field and timing checks to filter automated submissions. This involves no third-party tracking and no profiling of you.

Information from third parties

Where you engage us for distribution, retail setup, or advertising, we may receive sales figures, royalty statements, and campaign performance data from retailers, distributors, and advertising platforms. This data relates to your book and your accounts, and we report it back to you.

03Your manuscript

Your manuscript is the most sensitive thing you will ever send us, so it is governed by stricter rules than anything else in this policy.

Four commitments on unpublished work Your manuscript is read only by the SJF Ventures LLC team members and contracted specialists assigned to your project. It is never sold, licensed, shared with third parties for their own purposes, published in whole or in part without your written instruction, or used to train any artificial intelligence or machine learning model — ours or anyone else's.

You retain full copyright and all rights in your work at every stage. Nothing in this policy, and nothing in the act of sending us a manuscript, transfers any ownership interest, licence, or claim in your work to SJF Ventures LLC. Our only permission is the limited operational one you grant us in your engagement agreement: to read, edit, typeset, format, and distribute your book as instructed by you.

Everyone with access to your manuscript — employees, freelance editors, designers, and proofreaders — is bound by written confidentiality terms before they receive a single page.

04Why we use your information

We process personal information only where we have a lawful basis to do so. In practice that means one of the following.

To perform our contract
Delivering the editorial, design, production, distribution, and marketing services you have engaged us for; setting up accounts in your name; invoicing and taking payment; and reporting results back to you.
Because you asked us to
Responding to an inquiry, assessing your manuscript, preparing a consultation and written roadmap, and taking pre-contract steps at your request.
Our legitimate interests
Keeping the website secure, preventing fraud and spam, maintaining internal records, improving how we explain our services, and defending legal claims. We balance these against your rights and will not override them.
With your consent
Sending occasional email updates you have opted into, and using your name, book, or a testimonial in our marketing. Consent can be withdrawn at any time, and withdrawing it costs you nothing.
Legal obligation
Retaining financial and tax records, and responding to lawful requests from authorities.

05What we never do

Some things are worth stating as flat prohibitions rather than as qualified promises.

  • We do not sell your personal information. There is no circumstance, price, or acquisition in which we would.
  • We do not rent, trade, or share your details with data brokers, advertising networks, or list vendors.
  • We do not use your manuscript, correspondence, or project data to train artificial intelligence models.
  • We do not send unsolicited marketing to people who have only made a service inquiry.
  • We do not run behavioural advertising trackers or third-party analytics profiling on www.sjfliterature.com.

06Who we share information with

We share your information only where it is necessary to deliver what you have asked us to deliver, and only with parties bound to protect it.

  • Our team and contracted specialists — editors, cover designers, typesetters, proofreaders, and marketers assigned to your project, each under written confidentiality terms.
  • Service providers — email hosting, secure file storage, form processing, and accounting software, each acting on our instructions and permitted to use your data only for the service they provide to us.
  • Payment processors — who handle card and bank details directly under their own privacy terms. We receive confirmation of payment, never your full card number.
  • Retailers and distributors — Amazon KDP, IngramSpark, Apple Books, Kobo, Barnes & Noble, and similar platforms, where you have engaged us to publish or distribute your book. Accounts are created in your name and handed over to you.
  • Professional advisers and authorities — lawyers, accountants, or regulators, where we are legally required to disclose or need to establish or defend a legal claim.

If SJF Ventures LLC is ever involved in a merger, acquisition, or sale of assets, your information may transfer to the successor entity. We would notify you before that happened and the successor would remain bound by this policy, including the four manuscript commitments above.

07How long we keep it

We do not keep information indefinitely by default.

Inquiries that do not proceed
Kept for up to 24 months so we can pick up a conversation if you return, then deleted. Manuscript material submitted with an inquiry is deleted within 90 days of the inquiry closing unless you ask us to hold it.
Active client projects
Retained for the life of the engagement and for 24 months afterwards, so we can support your book, resolve queries, and reissue files you have lost.
Production files and final assets
Archived for 3 years after delivery so print files and cover artwork can be recovered. You may request earlier deletion once handover is complete.
Contracts and financial records
Retained for 7 years, as required by tax and accounting law.
Marketing consent records
Kept until you withdraw consent, plus a minimal suppression record so we do not contact you again by mistake.

08How we protect it

We use access-controlled storage, encrypted transmission for files and correspondence, strong authentication on every account that touches client data, and a strict need-to-know rule: only the people working on your book can open your files.

No system is perfectly secure, and we will not claim otherwise. If a breach affecting your personal information ever occurs, we will notify you and the relevant supervisory authority without undue delay, and tell you plainly what happened and what we are doing about it.

09Your rights

Wherever you live, we will honour the following requests. Depending on your jurisdiction — including under the EU and UK GDPR, the California Consumer Privacy Act as amended, and comparable state laws — some of these may also be legal entitlements.

  • Access — ask for a copy of the personal information we hold about you.
  • Correction — have inaccurate or incomplete information put right.
  • Deletion — ask us to erase your information, subject to records we must keep by law.
  • Portability — receive your information, and your manuscript files, in a common machine-readable format.
  • Restriction and objection — ask us to pause processing, or object to processing based on legitimate interests.
  • Withdraw consent — opt out of marketing at any time, by using the unsubscribe link or by writing to us.
  • Non-discrimination — exercise any of these rights without being charged more, served less, or treated differently.

Write to hello@sjfliterature.com and we will respond within 30 days. We do not charge a fee. If you are unhappy with our response, you may complain to your local data protection authority.

10Cookies

www.sjfliterature.com uses only what is necessary to make the site work — session and preference storage, and basic security protection on our forms. We do not set advertising cookies, and we do not run third-party behavioural trackers.

If we ever introduce optional analytics or advertising cookies, we will ask for your consent first through a clear banner, and you will be able to decline without losing access to any part of the site.

11International transfers

SJF Ventures LLC is based in the United States and works with authors and specialists internationally. Where personal information is transferred outside your home country, we rely on appropriate safeguards — including Standard Contractual Clauses or an equivalent mechanism — and we require every recipient to protect your information to the standard set out in this policy.

12Children

Our services are intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with information, write to hello@sjfliterature.com and we will delete it promptly.

13Changes to this policy

We may update this policy as our services or the law change. The effective date at the top of the page always reflects the current version. If a change materially affects how we handle your information, we will email active clients directly rather than relying on you to notice.
